Customer Service Analyst- OTD Analyst

Customer Service Advisor (Senior Analyst)

Responsibilities: Leadership &amp; Team Management: <ul><li>Lead and mentor a globally based team of 4-6 direct reports and 20-40 indirect reports. Provide guidance, training, and development opportunities to drive team performance and individual growth.</li></ul> Deduction Management: <ul><li>Oversee and resolve customer deductions across various regions. Identify and address the root causes of deductions, including pricing discrepancies, overages, shortages, damages, and billing issues. </li><li>Ensure that the team meets established KPIs and SLAs.</li></ul> Collaboration &amp; Stakeholder Engagement: <ul><li>Partner with internal and external customers, including senior management, to resolve issues, identify trends, and promote solutions.</li><li>Build and maintain strong relationships with cross-functional teams, such as Sales, Finance, Supply Chain, and IT.</li></ul> Process Optimization &amp; Automation: <ul><li>Lead efforts to enhance the efficiency of the deduction management process, including implementing process improvements, software automation, and AI-driven tools to minimize errors and reduce processing times.</li></ul> Key Performance Indicators (KPIs): <ul><li>Drive the achievement of KPIs like Days Deductions Outstanding (DDO), Deductions as % of A/R Balance, and Invalid Deductions. Ensure the team consistently meets or exceeds established performance goals.</li></ul> Strategy Development &amp; Execution: <ul><li>Develop and implement strategies aligned with company goals and metrics. Work with Global Invoice-to-Cash partners to standardize processes and enhance transaction accuracy.</li></ul> People Development &amp; Mentorship: <ul><li>Foster a high-performing team culture through coaching, mentorship, and recognition. Promote continuous learning and career growth within the team.</li></ul> Audit &amp; Compliance: <ul><li>Ensure compliance with internal policies, GAAP, SOX, and audit requirements. Oversee timely completion of audits and reporting requirements.</li></ul> ﻿Requirements: Education: <ul><li>Bachelor’s Degree or equivalent experience (6+ years) in finance, accounting, or a related field with demonstrated leadership capabilities.</li></ul> Experience: <ul><li>4+ years of experience in Deduction Management, Invoice-to-Cash (ITC) processes, and Accounts Receivable (A/R) management. Proven experience in leading teams and collaborating cross-functionally.</li></ul> Skills: <ul><li>Expertise in ERP systems (SAP preferred) and MS Office tools (Excel, PowerPoint, etc.).</li><li>Strong problem-solving, negotiation, and decision-making skills.</li><li>Proven ability to manage complex customer relationships and resolve issues efficiently.</li><li>Knowledge of trade spend management and deduction validation processes.</li><li>Leadership Abilities:</li><li>Strong leadership skills with a focus on people management, team development, and performance optimization.</li><li>Ability to lead and influence others, driving continuous improvement and change.</li><li>Additional Requirements:</li><li>Ability to manage multiple priorities in a fast-paced environment.</li><li>Strong verbal and written communication skills.</li><li>Some travel and overtime may be required to meet business needs.</li></ul>

Responsibilities:: <ul><li>Customer Relationship Management: Serve as the primary point of contact for assigned customers and sales partners, managing the fulfillment of customer orders to ensure on-time and in-full delivery (OTIF). Communicate effectively with stakeholders to reduce pricing discrepancies, resolve case fill issues, and address delivery delays.</li><li>Process Optimization and Problem Solving: Identify opportunities for continuous improvement within the order management process such as pricing discrepancies, OS&amp;D, and returns. Leverage tools such as SAP, Microsoft Excel and Celonis. Proactively implement solutions to enhance customer service initiatives and deliver consistent results.</li><li>Collaboration and Stakeholder Engagement: Partner with internal and external stakeholders, including supply chain, finance, sales teams, brokers, IT, and transportation carriers, to resolve logistical challenges and enhance the overall customer experience.</li><li>Performance Monitoring and Policy Compliance: Evaluate and ensure adherence to service-level agreements (SLAs), key performance indicators (KPIs), and internal policies, including GAAP, SOX, and audit requirements. Track and report performance metrics to identify improvement opportunities.</li><li>Capability Building and Innovation: Foster a culture of learning by participating in training and development programs. Contribute to special projects and continuous improvement initiatives, identifying innovative solutions to enhance process efficiency and quality.</li><li>Manage order processing and ensure on-time and in-full (OTIF) deliveries.</li><li>Support customer requests and help resolve basic order issues.</li><li>Track &amp; report KPIs (order accuracy, service levels).</li><li>Collaborate with internal teams to optimize OTD processes.</li><li>Learn and grow within the customer service and supply chain field. Must-Have Skills: Customer service experience (OTD, logistics, or related fields).</li><li>Sense of urgency &amp; problem-solving (handle daily tasks efficiently).</li></ul> Requirements: <ul><li>Bachelor’s degree in business administration, Logistics, or a related field.</li><li>Strong computer skills, including proficiency with ERP systems (e.g., SAP) and Microsoft Office.</li><li>Experience working with Order to Delivery Customer Service/support.</li><li>Exceptional time management and organizational capabilities, with the ability to handle competing priorities.</li><li>Advanced Analytical experience, strategic mindset, time management, problem-solving, and decision-making skills.</li><li>Excellent verbal and written communication abilities in a professional setting.</li><li>Advanced English level is mandatory, as this role provides services to US. Customer Service Analyst – OTD Analyst The Analyst role is more like an entry-level, focusing on day-to-day operations and order fulfillment – we ask at least 1 years of experience in Customer Service role for Logistics, transportation Team Structure:</li><li>Reports to the Team Lead.</li><li>Works with internal teams (Finance, Sales, Supply Chain).&nbsp;</li><li>Good communication skills (work with different teams). Willingness to learn (quick adaptation to SAP &amp; internal processes).</li><li>Fluent English (for working with US customers).</li><li>Support to North America</li></ul>

Build individual skills through training and participate in pilots, system testing, and service rehearsals before implementing major changes.</li><li>Manage high-priority customer accounts, ensuring orders are processed correctly.</li><li>Analyze customer issues and provide solutions to prevent recurring problems.</li><li>Work closely with Sales &amp; Finance to resolve pricing, invoicing, and payment discrepancies.</li><li>Support continuous improvement projects and process automation.</li><li>Use SAP &amp; Celonis to track performance and identify trends.</li></ul> Requirements: <ul><li>Bachelor’s degree in Business Administration, Logistics, or a related field.</li><li>Proven ability to manage complex, high-priority accounts while building and maintaining strong relationships with internal and external stakeholders.</li><li>Proficiency in ERP systems (e.g., SAP) and Microsoft Office, with demonstrated ability to leverage data for trend analysis and process optimization.</li><li>Analytical and root cause analysis skills to identify and resolve challenges in order management processes.</li><li>Excellent verbal and written communication skills with the ability to present insights and lead cross-functional projects or initiatives.</li><li>Strong time management skills with the ability to manage competing priorities and consistently meet or exceed performance objectives.</li><li>Advanced English level is mandatory, as this role provides services to US.</li></ul>
